Communication Importance in Management During Times of Change and Uncertainty
Oct 31, 2024Have you ever been part of a team during major change, wondering if anyone actually knew what was happening?
Whenever there is uncertainty and a blank to be filled in, people are going to fill it in with their assumptions based on the information that they DO have and their FEARS of worst case scenarios, it’s human nature.
Without clear communication and steady guidance, you can end up with a bunch of scared and confused people running around, brushing up their Linked In profiles and planning their own exit strategies - all because of a lack of clear information.
I’m pretty sure this kind of chaos is something you’d rather avoid, so let’s talk about how you can be the leader who brings clarity and calm to a chaotic situation even when the ground beneath you isn’t all that steady.
I went through this myself more times than I can count and learned that there’s one solution to preventing a total breakdown every single time: communicating well and communicating often.
At the time of writing this, we are less than a week away from the presidential election day here in the U.S. and you can practically feel the tension of the unknown in the air.
Regardless of how things turn out, we’re all facing some monumental change.
There’s an intensity right now that’s as thick as my winter blanket and it’s a reminder of just how high emotions can run when the uncertainty of change is about to have an impact on our daily lives .
Since the uncertainty of change is on everyone’s mind right now, I thought it was a good time to talk about it.
Communication Importance in Management During Uncertainty:Be Transparent (Even When You Don’t Have All the Answers):
You don’t have to be running an entire country to understand that leadership often carries a weight that can feel just as intense.
Your team looks to you as the steady voice—the one to bring clarity and direction.
So, if you’re still figuring out a few things, it’s okay to say, “Here’s what we know, and here’s what we’re working on.”
By being upfront and specific about what you do know and when they can expect updates about what you don’t—shows that you’re prepared to guide them through the unknowns, even if you don’t have everything mapped out yet.
That honesty is key to building trust and shows your team you’re committed to transparency. Clear, specific communication eases their minds and reinforces that you’re in their corner.
Let’s face it, when uncertainty hits, your team members won’t be thinking about the impact to the company and the bigger picture yet.
What they WILL be thinking about is their favorite radio station that I like to call “W.I.F.M.”—What’s in it for me?
They’re wondering, “Will my role change? Will I lose my job? What about my salary? Will I still have the same boss and be on the same team? How will this impact my day-to-day work?”
Until you can answer those questions, anything else you say to them will sound like Charlie Brown’s teacher… Wah wa wa wah wa wa ….In other words, they’ll see your lips moving, but won’t care or understand a word that you’re saying.
You can avoid unnecessary stress and speculation by anticipating their concerns and being prepared with the nitty-gritty “what about me” details that matter most to them.
Start by addressing these specifics—it helps fill in the blanks they’re worried about and quiets initial anxieties, allowing them to regroup and stay focused on the bigger picture.
Timing Is Key in Managing Communication Importance
Let’s talk about timing, too, because it can make or break your entire strategy.
Have you ever had news leak out or reach team members through the rumor mill before the official announcement?
It can turn an otherwise organized process into confusion quickly, and it’s the last thing you want during a period of change.
If your team lives in multiple time zones, this might mean being a little bit creative with scheduling the major announcements to be sure that everyone is receiving the same message at the exact same time.
If possible, you should try to announce any major news live, if not, you can lean on technology to help bridge any gaps and still make sure that everyone receives the same information at the exact same time.
Pre-recorded videos, live-streamed announcements, or timing emails for synchronized delivery are your friends here.
The goal here is that every single person on your team hears the information directly from you, not from a secondary source.
That way, they’re hearing it from the source with no filter, no room for misinterpretation, and no whispers of “Did you hear about…” before you’ve officially made the announcement.
For those few key people who need to know details in advance to help you manage the rollout, hold one-on-one discussions with them ahead of time so they’re ready to support the team as well.
They will likely get more of the tough questions that people may not feel comfortable asking in a larger setting, so they’ll need to be prepared, well informed and ready to provide answers with up to the minute accuracy of the details.
A well-planned, simultaneous rollout helps everyone hear your message the way you intend, without fragmentation or chaos.
Frequent Communication In Management to Build Consistency
When things are uncertain, your team wants to be kept in the loop—and that’s where regular, consistent communication comes in.
Schedule your updates like clockwork, even if you don’t have much new to say.
A quick note to say, “Just wanted to touch base; no updates yet, but as soon as additional information becomes available, you’ll be among the first to know.!”
That consistency is incredibly reassuring and shows your commitment to transparency.
Stick to a familiar channel that everyone knows to check—maybe it’s a dedicated Slack channel, weekly email updates, or a team meeting at the same time every week.
People like to know where to find the latest news, and maintaining a single source of information prevents confusion. Schedule a weekly meeting for the same time each week for consistency. .
Save the major updates for live one on one conversations or meetings.
Those kinds of updates aren’t something that you would want to hear about on an email or text message, or even worse, have the details to be leaked on social media!
One of the worst things that could happen is to have the general public know more about what’s happening in your company than your employees do. Talk about awkward!
Give Your Team a Voice: Active Listening and Open Feedback Loops
Sometimes, the best thing you can give your team is a safe space to share their thoughts.
Change is stressful, and an outlet for those emotions can be invaluable.
By setting up Q&A sessions, town halls, or even an anonymous feedback form, you provide a way for team members to voice their concerns, ideas, and worries.
This goes beyond simply inviting feedback. Really listen to what they’re saying, as it can reveal valuable insights into how your team is coping with the changes.
It’s a great way to show you care and a practical approach to refining your communication based on real-time feedback.
Focus on the Vision: Reinforcing Purpose and Unity
In times of change, one of the best things you can do is reconnect your team with the values and vision that remain steady.
Grounding your team in the bigger picture brings a sense of unity and purpose that holds steady through change.
Remind them of why they’re doing what they do, and help them see how their role fits into the big picture.
When people can see how their individual contributions support the larger mission, it brings clarity and purpose—both of which are priceless when ambiguity and uncertainty are the worries du jour on the menu!
Wrapping It Up: Communication for the Win
Let’s be real—navigating change is rarely easy. But clear, honest, and consistent communication is one of the strongest tools you have to guide your team through uncertain times.
When your team knows they can count on you to keep them informed, they’re more motivated to stick together and ride out the dreaded cone of uncertainty.
If you’re ready to elevate your communication strategy, I'd love to help you create a personalized plan to keep your team in sync, engaged, and confident in you as their leader.
